The Operations Float is responsible for answering incoming phone calls, routing calls to the appropriate staff, maintaining the reception area, and providing general information to staff and visitors. This position has no supervisory duties, is an individual contributor and reports to the Director of Operations.


Essential Job Functions
 
  • Answer incoming calls from a central switchboard and route to appropriate party
  • Responsible for voicemail and routing incoming calls
  • Greets and registers all visitors in the reception area
  • Schedules meetings, activities and room requests
  • Receive donations from the public and coordinates with the Development Office in processing
  • Maintains cleanliness and appearance of the reception area
  • Coordinates facility safety drills
  • Manage security program for the front doors
  • Check in and out telephones and campus vendor keys
  • Check in and out campus vehicles
  • Provides clerical support for staff as assigned, including projects, reports, data entry and updating the telephone extension lists and mailbox labeling
  • Educate donors/vendors regarding delivery process
  • Call for extra assistance, emergency police, fire or medical assistance as needed
  • Meeting management including location, room set up, agendas, catering, and attendee communication
  • Process all outgoing and incoming mail
  • Monitor and maintain office supplies inventory
  • Order general office and copier supplies
  • Fill copy, scan, and fax requests
  • Front desk coverage daily
  • Fill records requests as needed
  • Schedule and coordinate transportation services for agency vehicles
  • Other duties as assigned
 
Physical Requirements
 
  • Ability to infrequently lift up to 25 lbs. as needed

Working Conditions
 
  • In person on campus office/school and treatment environment
  • Minimal travel may be required occasionally

Minimum Qualifications
 
  • High School diploma or equivalent
  • Bachelor’s degree in business or related field preferred
  • One or more years of experience performing front desk, office, clerical, or receptionist duties
  • All candidates must have (or qualify to obtain) a current Colorado driver's license
  • All positions require a pre-employment drug test, FBI fingerprint check, CBI criminal records check, child abuse registry check, motor vehicle record check, academic record verification, and reference checks
